Manage bank accounts, credit cards, and reconciliations.
Bank Accounts
You can set up multiple bank accounts (Checking, Savings) and Credit Cards.
- Opening Balance: When creating a new account, you can set the starting balance. This creates an automatic Equity adjustment.
- Registers: Viewing an account's "Register" shows a ledger-like view of all history for that specific account.
Entering Transactions
Write Check
Use this for money leaving the bank immediately (Debit Card, Wire, Paper Check) without a prior Vendor Bill.
Make Deposit
Use this to record income that isn't from a Customer Invoice payment (e.g., Tax Refund, Owner Investment, Interest Income).
Note: Customer Payments should be recorded via "Receive Payment" in AR, which then queues them for Deposit here.
Reconciliation
This is the process of ensuring your VioBalance balance matches your actual Bank Statement.
- Click Reconcile.
- Select the Account.
- Enter the Ending Balance and Statement Date from your physical bank statement.
- Check off transactions in VioBalance that appear on your statement.
- Goal: The "Difference" must be 0.00.
Transfer Funds
Use this to move money between two Balance Sheet accounts (e.g., Checking to Savings, or Checking to pay off Credit Card).
Do not use "Expense" or "Income" accounts here. Transfers are for moving assets/liabilities, not spending or earning.
